Otis Elevator Company seeks a qualified Service Coordinator based in Minneapolis, MN. The successful candidate must be an ambitious, self-reliant, and focused individual to perform a wide range of administrative functions that requires problem solving skills under minimal direction. Must be a team player and have the ability to handle sensitive information and maintain perspective under pressure.


**The fundamental responsibilities will include:**


+ Regularly communicating with and support service supervisor team

+ Responsible for data input and tracking, parts ordering and distribution for product upgrades

+ Lead the service repair intake process. Provide schedule updates and coordination between supervision, sales and customers

+ Coordinate and distribute monthly service schedule to all field associates

+ Distribute New Equipment turnover announcements to supervision and field

+ Ensure timely Verbal PO distribution to field

+ Schedule monthly safety meetings with all service field associates

+ Weekly Billing using mainframe based billing system

+ Processing, data entry, and tracking of sales order folders for billable repairs and maintenance contracts

+ Mailing of fully executed contracts back to customer and filing of same contracts within the office filing system

+ Coordinating with State to submit and secure permits for sold work as required

+ Coordinate and lead effort for certified payroll processing and paperwork submittals to customers as required

+ Receive, distribute, communicate, and track State Compliance reports as required


**Other administrative duties may include the following, as needed:**


+ Answering phones

+ Filing and departmental organization

+ Provide administrative support to branch sales and operations staff, as requested

+ Print and distribute monthly reports to branch management team members


**Qualification:**


Excellent computer skills, with proficiency in Microsoft Office - Word, Outlook, Excel, and aptitude to learn company-specific software (LinX, mainframe, JDE, etc.).


The ideal candidate will have exceptional written and verbal communication skills, be detailed oriented, and organized. Demonstrated proficiency in planning, organizing, prioritizing and multi-tasking is required. Must be able to manage workflow efficiently, be self-reliant, show initiative, good judgment, be a team player and have the ability to handle sensitive and confidential information.


**Education:**


+ Bachelor's Degree preferred
